Comparison
AI agent vs. chatbot: what is the difference?
A chatbot answers. An agent gets things done. Both can run on the same technology, but they solve different problems: a chatbot cuts the wait for an answer, an agent cuts the work that follows it.
In short
- A chatbot waits for a question and answers it. An agent is given a task and finishes it.
- A chatbot works mainly with text; an agent also works with your systems and data.
- For repeat questions a chatbot is enough; for repeat work an agent is better.

A reception desk comparison
A chatbot is like an information board with an “ask a question” button. It tells you when the surgery is open and how to book an appointment. But it does not have to book you in.
An AI agent is like a receptionist who takes the request, finds a free slot according to the surgery’s rules, prepares the confirmation and leaves the nurse to simply click “approve”.
Side-by-side comparison
| Chatbot | AI agent | |
|---|---|---|
| What starts the work | A user’s question | A trigger: email, form, deadline, new record |
| Result | An answer in the chat window | A completed step: an entry, a draft, sorted mail, a reminder |
| Working with tools | Usually none or limited | Reads from and writes to agreed systems |
| Who checks | Often no one | A person approves according to rules set in advance |
| Typical use | FAQs on a website | Repetitive admin and operations |
When a chatbot is enough
When you get lots of identical questions and the answer is always “written down somewhere” – opening hours, price list, how to make a complaint. A good chatbot answers from your documents (a technique called RAG) and passes new situations to a person.
When an agent pays off
When the answer is followed by work: something needs to be entered, checked, looked up, chased or prepared. Typical examples are copying orders from email, checking that applications are complete, chasing documents or sorting mail. You will find examples by industry in the agent catalogue.
The two are often combined: a chatbot takes the customer’s question and an agent does the work behind it – for example, preparing a booking that a person then confirms.
Frequently asked questions
Is a website chatbot the same as an AI agent?
No. A chatbot answers visitors’ questions. An AI agent works with your systems and finishes tasks, for example entering an order or preparing documents.
Can a chatbot grow into an agent?
Yes. If you connect a chatbot to your systems and give it clear rules about what it may do, it becomes an agent. The key is deciding what a person approves.
Which is a better start for a small business?
It depends on what holds you up more. If you keep answering the same questions, start with a chatbot. If you retype or sort things by hand, start with an agent for one task.
