Comparison
Automation vs. AI agent.
Traditional automation can do “if A, then do B”. An AI agent can cope even when A is worded differently in every email. The best results come from combining the two.
In short
- Automation = fixed rules, structured data, 100% predictable.
- AI agent = understands text, documents and ambiguous input.
- If something can be done with a rule, use a rule. Use AI where rules are not enough.

The difference, simply
Traditional automation (tools such as Make, Zapier, Power Automate or scripts) connects systems according to fixed rules: “When a payment arrives, mark the invoice as paid.” It is fast, cheap and completely predictable. But it needs data that always arrives in the same form.
An AI agent can work with what slips past the rules: an email written in the sender’s own words, an invoice in a different format, a question that asks the same thing in a different way. It understands the content and acts on it.
Comparison
| Automation | AI agent | |
|---|---|---|
| Input | Structured data (form, spreadsheet, system) | Also free text, emails, PDFs, photos of receipts |
| Decision-making | Based on fixed rules | Based on understanding the content and the rules it is given |
| Predictability | Complete | High, but needs checking |
| Running costs | Very low | Low; you pay for the model to process text |
| Changing the process | Rewrite the rules | Often just adjust the instructions |
Why a combination works best
A typical agent is, in reality, largely traditional automation. AI is used only for the steps that require understanding:
- An email with an order arrives (automation).
- AI reads the email and the attachment and pulls out the items and quantities (AI).
- The system checks prices and stock (automation).
- A salesperson checks and confirms the draft (person).
- The order is entered and the customer receives a confirmation (automation).
The result is cheaper, more reliable and easier to check than if “AI did everything”.
How to tell what you need
- Is your data in a system or form, and can you write down the rules? → automation.
- Does input arrive as text, documents or emails, each looking slightly different? → AI agent.
- Do you need both? That is the most common case.

Frequently asked questions
Will AI agents replace tools like Make or Zapier?
No, they will complement them. Fixed rules are still best for predictable steps. AI is added where text needs to be understood.
Is an AI agent more expensive than automation?
Running an AI step costs a little more than a rule, because you pay for the model’s processing. That is why AI is used only where it is genuinely needed.
What is RPA?
Robotic Process Automation – software that mimics a person clicking through applications. It is a form of traditional automation; an AI agent can add the ability to understand documents.
