Prompt: what it is and why it matters less than you think.

A prompt is the instruction you give artificial intelligence – a question or request written in plain language. A good prompt helps, but with business AI agents the instructions are set up once, in advance. Your team then does not have to “operate” anything.

In short

  • Prompt = an instruction for AI written in plain language.
  • A good prompt covers context, task, format and limits.
  • With an AI agent, the instructions are part of the set-up; people just check the result.

What a prompt is

When you type “Summarise this contract in five points” into ChatGPT, that is a prompt. In general, it is any text you use to tell AI what to do.

What a good prompt looks like

A good prompt has four parts – just like a good brief for a colleague:

  • Context: “You are an assistant at an accounting firm; the clients are sole traders.”
  • Task: “From the attached invoice, list the supplier, amount and due date.”
  • Format: “Put the result in a table with three columns.”
  • Limits: “If a detail is missing from the invoice, write ‘missing’ – do not guess.”

The last point is the most important – it greatly reduces the risk of hallucinations.

Why it matters less in a business

“How to write prompts” training teaches people to operate a tool. That makes sense for occasional work with ChatGPT. For repetitive work, though, the better approach is the opposite: the tool adapts to the people.

With an AI agent, the instructions, rules and documents are set up once during roll-out and then fine-tuned based on real use. The accountant does not have to write any prompts – in the morning she opens an overview of prepared invoices and checks them.

Tips for your own work with AI

  • Be specific, as if you were briefing a new colleague.
  • Attach an example of what the result should look like.
  • Ask for sources and allow the answer “I don’t know”.
  • Do not paste sensitive data into public chat tools – see AI and GDPR.

Frequently asked questions

Do employees need to learn prompt engineering?

Not to work with an AI agent. The instructions are part of the agent’s set-up. Basic prompt-writing skills are useful for occasional work with general chat tools.

How long should a prompt be?

Long enough to cover context, task, format and limits. A few sentences are often enough. Business agents tend to have longer instructions, because they include the rules for the whole process.

Will the same prompt work in different AI tools?

Usually, yes, but the results may differ. That is why an agent’s instructions are always tested on real tasks.
