Overview
AI in healthcare.
In healthcare, AI is often associated with diagnosis. For an ordinary GP surgery or clinic, though, a much closer and safer use lies elsewhere: in the admin that takes nurses' and doctors' time away from patients. Here the agent does not decide on treatment – it helps with phone calls, appointments and paperwork.
In short
- AI saves the most time on booking, reminders and admin.
- Treatment and urgency are always decided by a healthcare professional.
- Health data is a special category under GDPR – security is essential.

Where AI helps in a medical practice
- Booking and rescheduling – the agent takes a request from email or the website and proposes a free slot according to the practice's rules. A nurse confirms it.
- Appointment reminders – it reminds patients the day before and sends preparation instructions (fasting, bring your insurance card). Fewer no-shows.
- Pre-filling paperwork – it uses the patient's details to prepare form entries and flags uncertain points.
- Sorting patient messages – it summarises messages and flags those that look urgent so the doctor sees them first.
- Answering practical questions – opening hours, holidays, what to bring.
Where the line is
An admin agent does not diagnose, advise on treatment or decide on urgency. It only prepares and sorts; the next step is always decided by a doctor or nurse (human-in-the-loop).
AI that assessed someone's health on its own would fall under medical device regulation and the strict rules of the AI Act. That is a different kind of solution from an agent that helps run a practice.
Health data and security
Health data is one of the special categories of personal data (Art. 9 GDPR). For the agent this means:
- working only with the data the task genuinely needs,
- using services with a data processing agreement and processing in the EU where possible,
- restricting access and keeping a log of what the agent did,
- considering a data protection impact assessment (DPIA) for larger-scale processing.
How to start
The best first task is usually the one that keeps the practice phone ringing – typically booking and rebooking. You will find specific scenarios in the catalogue: healthcare and veterinary clinics.
Frequently asked questions
Can AI decide how urgent a patient is?
An admin agent cannot. It can summarise messages and highlight those containing warning signs, but the next step is always decided by a healthcare professional.
Is using AI with patient data GDPR-compliant?
It can be, provided there is a legal basis, a data processing agreement, proper security and data minimisation. Health data calls for extra care.
Can the agent work with our booking system?
It depends on whether the system can be connected. If not, the agent can prepare suggested appointments for a nurse to enter by hand.
